The Office Assistant provides clerical support to assist the Chickasaw Nation Industries project management office located at Indian Head Maryland. This position performs a variety of basic clerical tasks such as answering phones, preparing correspondence, filing and scheduling appointments.


Essential duties and responsibilities include the following.  Other duties may be assigned.

Receives telephone calls, emails or visitors, and assists as required.

Processes and routes incoming mail and other forms of communication (i.e., facsimiles, e-mail, postal mail, express mail, etc.).

Prepares outgoing mail and other forms of communication (i.e., facsimiles, e-mail, postal mail, express mail, packages, etc.).

Retrieves, copies and files documents. Maintains hard copy and soft copy files.

Maintains office calendar, and assists with scheduling of meetings and appointments. Assists with meeting preparations, as assigned, which includes WebEx meetings.

Provides clerical support for scheduled training activities.

Assists in the collection and production of inquiry volumes and types within the email support boxes.

Helps prepare briefing materials and meeting documents in a timely manner. Assists management in compiling and organizing meeting materials.

May prepare PowerPoint presentations, spreadsheets and/or reports. Implements government guidelines, as instructed.

Orders and distributes office supplies.

Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize output.

Responsible for aiding in own self-development by being available and receptive to any training made available by the company.

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and Human Resources. Will immediately correct any unsafe conditions as the best of own ability.


High school diploma or general education degree (GED) and one (1) year clerical experience working in an office environment; or equivalent combination of education / experience.



Operational knowledge of standard office practices and procedures

Proficient in the use of standard office equipment such as computers, typewriters, copiers, fax machines, scanners, telephone systems and office automation systems

Skilled proficiency in the use of Microsoft Windows and Office programs (i.e., Word, Excel, Outlook, PowerPoint, etc.)

Knowledgeable and proficient in the use of the English language as to professional business grammar, spelling, punctuation and capitalization in the preparation of correspondence, reports and presentations

Ability to compose correspondence from draft to final version, both electronic and hard copy

Working knowledge of business records management and filing processes

Excellent verbal and written communications skills

Excellent customer service skills with ability to apply general business and telephone etiquette

Solid time management skills with ability to efficiently schedule and coordinate appointments, meetings, and timelines

Excellent organizational and multitasking skills relevant to carrying out day-to-day responsibilities

Detail-oriented with ability to produce quality work within specified deadlines

Ability to maintain confidentiality and to use discretion with sensitive information

Ability to work independently and in a team environment


Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.


Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Exposed to general office noise with computers printers and light traffic.
