The Administrative Specialist provides a broad range of administrative support services for the U. S. Department of Energy (DOE), Office of Science, Office of Nuclear Physics, Facilities. This position acts as a personal assistant to the Associate Director of the Office of Science for Nuclear Physics.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties and responsibilities include the following. Other duties may be assigned.

Provides a broad range of administrative support services in functional areas that include administrative services.
Coordinates office personnel actions, including preparation and tracking of personnel documentation such as position descriptions, personnel requests, recruitment incentives, IPA/detailed actions, and tracking of personnel actions in coordination with the Associate Director.
Acts as payroll/timekeeper for the office.
Answers telephones transfers calls and takes and delivers messages.
Prepares miscellaneous correspondence for internal review.
Schedules meetings for the Associate Director and front office staff.
Prepares visit requests, including foreign national visitor documentation, escorts visitors, and procures conference rooms and equipment.
Maintains office electronic and hardcopy files.
Arranges travel for the Associate Director and front office staff members as needed.
Provides overall administrative support to the Office and other duties as assigned.
Responsible for aiding in own self-development by being available and receptive to all training made available by the company.
Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output.
Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.
EDUCATION / EXPERIENCE
Must have relevant education and administrative support experience in a professional business environment as specified below, or equivalent combination of education / experience. Experience in the use of Microsoft Office Suite and other DOE Office of Science, DOE information systems and legacy administrative systems as required.
Administrative Specialist 2 - (6A) (1-year certificate from college or technical school and 1 year of experience)

Strong working knowledge of DOE correspondence rules, policies, and procedures
Strong working knowledge of the principles and concepts of information governance to control a variety of DOE internal and external correspondence at various stages
Excellent written and verbal communication skills with knowledge and ability to utilize appropriate grammatical skills at a professional level
Ability to work and communicate effectively with all levels of management and coworkers, as well as a wide range of people with diverse backgrounds
