The Administrative Assistant III provides administrative support to the Department of Transportation (DOT), Pipeline and Hazardous Materials Safety Administration (PHMSA) contract. This position is a senior-level assistant expected to perform complex administrative tasks and will typically be supporting one or more senior-level staff, in addition to office staff. This position handles a wide variety of administrative functions and situations, which includes the handling of sensitive or confidential information on a daily basis.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties and responsibilities include the following. Other duties may be assigned.

Responsibilities include those for lower-level administrative assistants, but require more work experience within each function.
Uses greater judgment in accomplishing tasks than lower-level administrative assistants.
Demonstrates advanced computer skills and internet research skills.
Supervises less experienced administrative assistance staff within each functional work area.
Uses excellent judgment in accomplishing tasks.
Balances multiple, quick turnaround, high priority tasks.
Composes, proofreads, and edits documents. Ensures procedural and grammatical accuracy, as well as conformance with general policy and factual correctness. Ensures coordination and signature procedures are followed.
Responsible for aiding in own self-development by being available and receptive to any training made available by the company.
Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output.
Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.
High School Diploma or General Education Degree (GED) and a minimum of three (3) years’ relevant experience performing complex administrative tasks and supporting one or more senior-level staff, in addition to office staff. Some college courses preferred. Prior experience in office operations.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
