The Administrative Assistant performs administrative duties in support of the Raven Rock Mountain Complex. The Administrative Assistant completes various assignments consisting of multiple steps using some subject-matter knowledge and by selecting appropriate methods from a wide variety of procedures, guides and/or manuals.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties and responsibilities include the following. Other duties may be assigned.

Responsible for compiling, verifying accuracy and maintaining multiple spreadsheets, databases, reports and other records including; but not limited to, training records, expense reports, licensing, etc. Creates memos as requested by Site Manager. Files work orders and maintains work order logs. Maintains logs on time in and out for all employees.
Serves as back up in the absence of the Site Manager. Communicates all information to Site Manager through email, phone calls or upon return to the office.
Serves as point of contact for customers for all areas of the contract. Assesses incoming calls/requests and ensures information is accurately passed on to the appropriate office in a timely manner.
Supports all areas of the contract including Dining Services, Logistics, Transportation and Custodial. Serves as back up for Dining Facility Manager in the operation of cash registers, monitoring change safe, and menu input, etc. Schedules and manages custodial requests and transportation requests. Schedules vehicle maintenance and cleanings based on direction from the Program Manager. Secures classified mail. Assists visitors with transportation and other duties as assigned.
Practices safety standards and does not operate, maintain or move equipment unless properly trained. Works safely and reports unsafe conditions. Treats customers and fellow employees with dignity and respect.
Performs other duties as required or directed.
Responsible for aiding in own self-development by being available and receptive to any training made available by the company.
Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output.
Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.
Bachelor’s Degree in Business Administration, Program Management or Project Management required and a minimum five (5) years related experience and/or training. Must have working knowledge of Microsoft Office Suite, especially Excel and Word. Requires familiarity with office-based tasks and equipment, i.e. filing documents, photocopying, telephone skills, etc.
CERTIFICATES / LICENSES / REGISTRATION
Driver’s License Required
Current National Restaurant Association Serv-Safe Certificate (within last 4 years) or ability to obtain one preferred
Possesses (or has the ability to possess) an active DOD Secret Clearance
