Executive Assistant III

The Executive Assistant III provides administrative and general office support. Supports efforts in implementing business strategy, mission, plans and goals. Conducts basic research, drafts reports, handles information requests. Performs clerical functions such as prepares correspondence, receives visitors, arranges conference calls, processes travel requests and reimbursements, maintains calendars and creates presentations.

ESSENTIAL REQUIREMENTS  

  • Must be able to obtain and maintain the required customer clearance for access to systems, facilities, equipment and property.  

  • Must have excellent attention to detail and organizational skills 

  • Must have advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) 

 

KEY DUTIES AND RESPONSIBILITIES  

Essential Duties and responsibilities include the followingOther duties may be assigned. 

 

  • Manages and maintains executive calendars, schedules appointments, meetings, and travel arrangements. Coordinates and prioritizes meeting requests, ensures efficient use of time. Prepares meeting agendas, materials, and presentations as required. 

  •  Provides comprehensive administrative support to team, including drafting and proofreading correspondence, memos, reports, and presentations. Handles incoming and outgoing communications, including phone calls, emails, and mail, and respond or redirect as appropriate. Maintains an organized filing system for documents, records, and correspondence. 

  •  Handles sensitive and confidential information with the utmost discretion and maintain confidentiality in all aspects of the role. Ensures compliance with privacy regulations and company policies. 

  •  Assists in the coordination and execution of special projects, initiatives, and events as assigned. Conducts research, gathers data, and prepares reports or presentations as required. 

 

EDUCATION AND EXPERIENCE 

Bachelor’s degree and four to seven (4-7) years relevant experience and/or training, or equivalent combination of education/experience.  

 

PHYSICAL DEMANDS 

Work is primarily performed in an office environment. Regularly required to sit. Regularly required use hands to finger, handle, or feel, reach with hands and arms to handle objects and operate tools, computer, and/or controls. Required to speak and hear. Occasionally required to stand, walk and stoop, kneel, crouch, or crawl. Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focusExposed to general office noise with computers printers and light traffic.

The estimated pay range for this role is $40 to $45, with the final offer contingent on location, skillset, and experience.
