The Administrative Assistant provides a broad range of administrative services. This position works closely with managers and staff to meet their individual needs while adhering to office protocols.  Leverages extensive knowledge of AAM processes and will have experience in delivering administrative support at MMAC. This position is 100% onsite in the Oklahoma City Area.

ESSENTIAL REQUIREMENTS

  • Must be able to obtain a customer clearance investigation (VAP) for access to facilities, equipment and property.  

KEY DUTIES AND RESPONSIBILITIES

Essential Duties and responsibilities include the following.  Other duties may be assigned.

  • Manages and maintains office files, records, and documentation. Answers and directs phone calls, emails, and other correspondence. Assists with invoicing, expense reports, and basic bookkeeping tasks.

  • Addresses inquiries and provides excellent customer service. Schedules meetings and manage calendars for team members. Prepares reports, presentations, and other documents. Takes meeting minutes and distributes them to relevant parties. Supports team projects by conducting research and coordinating logistics.

  • Organizes office events and meetings, including logistical arrangements. Maintains confidentiality of sensitive information and ensures compliance with company policies.

EDUCATION AND EXPERIENCE

High school diploma or general education degree (GED) and a minimum of three to five (3-5) years relevant experience and/or training, or equivalent combination of education/experience.

PHYSICAL DEMANDS

Work is primarily performed in an office environment. Regularly required to sit. Regularly required use hands to finger, handle, or feel, reach with hands and arms to handle objects and operate tools, computer and/or controls. Required to speak and hear. Occasionally required to stand, walk and stoop, kneel, crouch, or crawl. Must frequently lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception and ability to adjust focus. Exposed to general office noise with computers printers and light traffic.
